What is a fax server?

A fax server is a modern advancement and technological addition to the traditional communication method of sending and receiving faxes. A fax server can be single software or a set of softwares that are loaded onto the desktop of a machine or even a standalone computer that is dedicated for fax transmissions and receipts. There are many advantages that a fax server can offer to its users and the most important one is its ability to allow all the users to send and receive faxes without getting up from their work stations. A fax server needs to be connected to modem(s) and telephone lines and can act like a virtual fax machine; thereby eliminating the need of a facsimile. Then, all the users can get access to the fax server through a network and make use of this virtual fax machine. They can send from heir computer terminal and can also receive and store faxes, without having the move from their seats.

Fax server can also reduce the expenditure of the organization. A fax server with limited telephone lines or even a single one can send/receive all the faxes of the organization. This software also acts as an organizer of all received faxes, storing them in sequential order which can be retrieved easily. It can also send faxes to the intended recipients’ terminals automatically. Al of these features reduce the expenditure of multiple telephone lines, eliminate the necessity of a dedicated employee for managing fax and can also greatly reduce the paper usage of the organization. A fax server has also got the ability to send multiple faxes simultaneous or can even queue up all the faxes that need to be sent, in a time stamped order and will automatically send them as soon as the lines are free. People do not even need to be present near the fax server or even at their seats for the tasks to be completed.

A single fax server can be networked throughout the office and can even be linked to multiple locations in the same city. In fact, fax servers can be networked to any location in the world through the internet. This feature enables the organization to effectively control and monitor the usage and expenses. Centralization of the fax usage can also effect huge savings by eliminating the need of dedicated phone lines and facsimile machines that otherwise are needed at every location.
